As we continue to grow internationally, we are seeking an adaptable and detail-oriented Programs Assistant (Registration Support) to support program delivery and provide exceptional registration support for our participants worldwide.

Position Summary

The Programs Assistant (Registration Support) provides day-to-day administrative and registration support for MI programs. This role is execution-focused and supports the Programs Coordinator by processing registrations, responding to participant inquiries, preparing program materials, maintaining accurate participant records, supporting program listings and communications, and completing assigned administrative tasks that keep programs running smoothly.

Key Responsibilities

Virtual and Online Registration Processing & Participant Support

  • Process registrations/orders and support participant enrollment workflows accurately and on time.
  • Respond to participant questions and requests using established templates and procedures; escalate complex cases to the Programs Coordinator.
  • Assist with application processing, including documentation tracking and routing special situations for review.

Records & Documentation

  • Maintain accurate digital records for participants and programs, ensuring required forms and documentation are complete.
  • Forward daily registration transaction order to Registration Manager for reconciliation.
  • Assist with preparing rosters and program-related documents for trainers/program leaders.
  • Support file organization and documentation standards to ensure consistent recordkeeping.

Program Support & Coordination

  • Assist with preparing participant communications (confirmations, reminders, logistics) as assigned.
  • Support administrative tasks related to program readiness, internal handoffs, and coordination.

Website & Systems Support (as assigned)

  • Assist with posting and updating virtual program listings and basic website/internal system updates as assigned.
  • Help track changes and ensure updates are accurate and completed on schedule.

Administrative Support & Coverage

  • Provide backup support for general Programs inbox/phone coverage and other administrative needs as assigned.
  • Support documentation and administrative tasks for residential programs as needed, coordinating with campus-based teams.

Meetings & Team Collaboration

  • Attend required meetings and complete assigned follow-ups on time.
  • Communicate clearly and proactively with the Programs Coordinator on task status, deadlines, and any issues.

Special Projects

  • Support special projects assigned by the Programs Coordinator and/or Programs Director.

Qualifications & Skills

  • Some college preferred; relevant experience may substitute.
  • Strong attention to detail, organization, and consistency; comfortable working with checklists and repeatable processes.
  • Clear, kind, professional written communication skills; service-oriented and responsive.
  • Ability to manage multiple tasks and shifting priorities with guidance.
  • Intermediate computer skills (Microsoft Office/Google Workspace equivalent); comfortable learning new tools.
  • Ability to work productively in a remote environment with minimal supervision.
  • Experience in administrative support, registration support, customer service, or program coordination is a plus.

Working Conditions

  • Remote-only position.
  • Must be able to work reliably with secure internet access and maintain confidentiality of participant data.
  • Occasional schedule flexibility may be needed during program launch windows or peak registration periods.

Core Working Hours / Time Zone

  • This is a remote position with core working hours of 9:00 a.m. – 5:00 p.m. Eastern Time (ET), Monday through Friday. Occasional flexibility may be requested during peak registration periods, program launch windows, or time-sensitive participant support needs.
